Headmaster’s Secretary<br/><br/>Grade BS9 £32 076 – £33024 per annum pro rata (pay award pending) <br/>37 hours a week (8am – 4pm M-Th 8am – 3:30pm Fri) term time only plus 10 days<br/><br/>Required to start on Wednesday 3rd January 2024: a highly qualified and experienced secretary/PA/administrator to support our Headmaster and Senior Management Team. The successful candidate will be motivated organised and thorough with high levels of literacy and the ability to work independently using their own initiative in a very busy and varied role. <br/><br/>Main Duties and Responsibilities (this list is not exhaustive and the successful candidate will be prepared to be flexible and adaptable as is essential when working in a school)<br/><br/>• Provide a wide range of accurate and professional secretarial and admin duties<br/>• Maintain the Headmaster’s diary arranging appointments and meetings as appropriate and providing refreshments<br/>• Take telephone calls on behalf of the Headmaster and filter accordingly<br/>• Receive and appropriately deal with emails and letters<br/>• Draft as appropriate outgoing correspondence for the Headmaster<br/>• Communicate with teaching and support staff on behalf of the Headmaster giving and requesting information making appointments etc<br/>• Draft and place advertisements for all new teaching and support staff. Receive applications acknowledge receipt invite for interview organise schedule and refreshments for interview<br/>• Maintain a log of the recruitment process ensuring that safer recruitment regulations are followed rigorously and all paperwork is completed appropriately<br/>• Maintain the Single Central Record for the school in accordance with the regulations set out in the government’s ‘Keeping Children Safe in Education’ document<br/>• Maintain and keep secure all admin filing including confidential staff and pupil records<br/>• Prepare/keep updated staff handbook pack of useful information for staff and staff address and phone number lists<br/>• Log any parental complaints/concerns and ensure they are dealt with in accordance with the school’s policies and procedures<br/>• Have responsibility for producing and maintaining the school calendar and preparing a weekly diary for staff<br/>• Organise room changes for the school’s set piece events/trips/exams etc <br/>• Prepare assembly staff duty and any other rotas needed<br/>• Organise parents’ evenings attending when required<br/>• GDPR compliance and SAR administration<br/>• Collate Staff and Visitor registers during Fire Drills and evacuations <br/>• Organise school photographic sessions during the year<br/>• Attend and take minutes of meetings as requested<br/>• Input/maintain staff and pupil information in the school’s computer systems (SCR SIMS Edulink)<br/>• Support the office admin team at busy times in answering the telephone helping at reception and monitoring the main email account when needed<br/>• Deal with sensitive matters in a professional and discreet manner with a high level of confidentiality<br/>• Ensure adherence to data protection regulations at all times• Organise KS3 exam schedule<br/>• Booking internal and external venues for events (Prize Ceremony Founders’ Day Ceremony Carol Service) <br/><br/>Qualifications Skills and Personal Attributes<br/>• Excellent verbal and written communication skills appropriate to the need to communicate effectively with colleagues pupils parents and outside agencies<br/>• A broad education that includes GCSE Maths and English Language (or equivalent).
